Start with a naming convention
Consistent filenames are the backbone of any filing system. Use YYYY-MM-DD prefixes and descriptive names — '2026-07-16 car-insurance-renewal.pdf' — so files sort themselves by date and are findable at a glance.
Consolidate related pages
Digital clutter is often file clutter. Merge multi-page scans into single PDFs and split bloated statements down to what you keep. Fewer, well-named files beat a folder of 200 loose images.
Make everything searchable
The real payoff of going digital is search. Run scans through OCR so their text is indexable, then you can find any document by content, not just by filename. It's the difference between 'where did I put that' and 'I know it mentioned the warranty.'
